Creating Sales Orders

A sales order records the items, quantities and prices agreed with a customer. Before posting it, check the customer details and commercial values filled from the selected terms.

Before you start

Check the sales order configuration. Prepare the customer and legal counterparty, items, warehouse, quantities, prices and delivery details. If the applicable terms require a contract, have a valid customer contract ready or create one from the order.

Create and fill the order

  1. Open Sales > Sales orders and choose Create.
  2. Select the customer. Check the legal Counterparty, sales terms and warehouse filled into the order. Correct any value that does not match this sale.
  3. If the selected terms require Contract, select the appropriate contract. Use F4 > Contracts > More actions > Create if a new one is needed, then save and select it.
  4. Open Goods, add the item and enter the agreed quantity. Check its unit.
  5. Review the price filled by the terms. If entering a price manually, use the agreed unit price and verify the amount. For example, two units at 20 RON each give 40 RON before tax.
  6. Review the line action, such as To supply, and the available quantity shown by the form. Make sure the selected action matches how the order will be fulfilled.
  7. Review the delivery details, currency, price-includes-VAT basis, applicable tax settings and final total.
  8. Choose Post and close to post and close the order.

Check the result

Return to Sales orders, find the saved order and reopen it. Check the customer, legal counterparty, terms, contract where required, warehouse, quantities, units, prices and total.

Review the order's calculated state. Ready for shipment indicates that it is ready for the next shipment step; verify the documents and warehouse actions required by your process before treating the sale as delivered.

If the order cannot be completed

  • If a contract is required, check the selected terms, the contract parties, validity dates and status.
  • If the legal counterparty is missing or incorrect, review Counterparty for the selected customer.
  • If pricing differs from the agreement, check the terms and the manually entered unit price before posting.
  • If the available quantity is insufficient, review the line action and the configured order usage mode.
  • If invoice generation requests shipment, Ready for shipment alone is insufficient. In Goods > Actions, choose Ship (all) and verify the line value Ship.
  • If the batch is required, allocate its quantity in Batch. Highlighting a batch alone does not allocate it. Follow customer invoice creation from the order for shipment and batch steps.
  • If the order is absent from the list, check filters and search by customer, date or number.

Continue with creating the customer invoice from this order when the order is ready for that step.
