Creating Terms of Sales

Special sales terms apply to a particular customer. They can reference standard terms and specify the conditions to review when creating that customer's sales documents.

Standard terms have a separate menu entry, CRM and marketing > Standard terms of sales. The steps below create customer-specific special terms.

Before you start

Prepare the customer and legal counterparty, description, validity period, contract requirements, payment conditions and pricing basis. Check the use of standard and special terms under sales settings.

Create special sales terms

  1. Open Sales > Special terms of sales and choose Create.
  2. Enter the number, date and description. Select Customer.
  3. Review the inherited Counterparty and Reference terms of sales. A reference such as Standard Terms supplies the starting conditions; check that it is appropriate for this customer.
  4. Confirm the Sales operation and responsible manager.
  5. Set Valid from and an end date where required. Leave the end date empty if there is no agreed end date. Use Valid when the conditions are ready to use.

Review the commercial conditions

Open Sales terms and conditions and review the inherited values before overriding them:

  • Contract use: choose contract-based conditions when a contract is required. For conditions without a contract, review the settlement currency and detail specified directly in the terms.
  • Payment conditions: review the payment method and stages. If the form shows that reference stages are not established, do not assume it contains a staged payment schedule.
  • Delivery: a warehouse is optional. Specify one if these terms should provide it, and review delivery days and order-frequency settings where applicable.
  • Pricing: check the pricing currency, price-includes-VAT setting and general or special price types appropriate to the agreement.

The settlement currency and pricing currency serve different settings; check each against the agreed conditions.

Save and check the result

Choose Save and close. Successful creation displays Added. Find the record in Special terms of sales and reopen it to verify the customer, legal counterparty, reference, status, dates and currency.

Before using the terms for a sale, select or review them in a new order and check the resulting contract requirement, prices, currency and warehouse. Saving a terms record alone is not a check of all values in a subsequent order.

If the conditions are unavailable or unexpected

Check the customer, Valid status and validity period against the document date. Review the reference terms and any local overrides. If a contract is requested unexpectedly, check the contract-use setting before changing the order.

For changed commercial conditions, review the validity of the old record and prepare a new record where appropriate, preserving the conditions used by existing documents.

For numeric item prices, create the price type and register its item prices. Continue with customer contracts and sales orders.
