Setting up Sales Orders
Sales-order settings determine whether orders provide a printable commercial document, reserve existing stock or also register demand for goods that are not yet available.
Review the settings
- Open Master data and settings > Sales and expand Wholesale.
- Review Use of terms of sales and Contracts with customers alongside the order settings. Sales terms and contracts affect the fields required in orders.
- Check Sales orders. For a company that uses sales orders, this option must be available and enabled as part of its sales configuration.
- Review Sales order usage and the mode appropriate to the company's fulfillment process.
Understand the three modes
| Mode | Intended use |
|---|---|
| Order as a commercial invoice | Use the order as a commercial invoice for printing. Goods are not reserved and order fulfillment is not tracked in this mode. |
| Order only from warehouse | Order goods from available warehouse stock. Reservation and fulfillment controls support the stock-only process. |
| Order from warehouse and backorders | Order both available goods and goods that require later supply. Line actions allow the fulfillment process to include supply, reservation and shipment. |
In the third mode, review Actions in the order's goods table. To supply and Ship represent different line actions; the order's overall readiness state does not replace the action required for shipment.
Review the related controls
Other options cover closing orders according to payment or shipment, recording cancellation reasons, combining several orders in an invoice, approval and version tracking. Configure these to match the company's responsibilities and document flow; each option has a separate purpose.
A setting can depend on enabled features or the current user's permissions. If an option is unavailable, review those dependencies with the administrator before planning a change. Do not assume that a disabled checkbox can be changed independently.
Check the resulting workflow
Before changing a mode used by existing orders, review its effects on reservation, supply, payment and shipment. After an authorized configuration change, check a new order's available fields and actions against the intended process.
For the warehouse-and-backorders process, follow creating a sales order, creating its customer invoice and the warehouse shipment required by your configuration.
If expected fields are missing
Check the selected mode, permissions and related sales features. If a contract is requested, review the sales terms. If invoice generation requests shipment or a batch, review the line action and batch allocation rather than changing the global controls to bypass the message.
