Receive partly defective goods and resolve supplier differences
Identify the actual good and defective quantities, batches and approved quality classifications. Do not confuse quality change with a price-only correction.
Start at Warehouse and delivery > Receipt; Purchasing > Purchase documents (all).
Procedure
- Create the warehouse receipt from the intended inbound instruction and check expected items and batches.
- If only part is defective, use the line split action so conforming and defective quantities are separate and sum to the actual receipt.
- Select the defective row and use the quality-change action. In the quality-item selection form choose the existing quality-linked item, or create it only under the approved item policy.
- Review original-to-quality-item linkage, quantity, unit and batch. Complete the warehouse receipt according to its actual acceptance process.
- Agree the commercial resolution with the supplier. Create a receipt discrepancy report and the required purchase adjustment or physical return, keeping their functions separate.
- Review stock by quality and the supplier balance. Cancel a genuinely undelivered remainder only after the resolution is agreed.
Check the result
Conforming plus defective stock equals actual receipt and the supplier correction does not duplicate physical movement.
If the result differs
Quality item is missing: review approved item creation/linking rather than reusing an unrelated item. Supplier amount is unchanged: complete the agreed commercial correction separately.
