Prepare and track an authorization to collect goods or cash
Collection authorizations must be available in the company configuration. Confirm the applicable authorization process before issuing a document.
Obtain the company’s authorized signatory, representative, scope and validity requirements. Legal identity requirements depend on the applicable company process.
Start at Open collection authorizations if this feature is available in the company configuration.
Procedure
- Open the authorization list and create a document for goods collection or cash collection according to the actual purpose.
- Select company, representative, issuing date and validity period. Review existing authorizations to avoid duplicate or expired authority.
- Link the intended supplier/order/receipt or payment instruction. For goods specify the authorized item scope; for cash verify payer, amount and currency.
- Review required representative details and obtain the actual signature/approval through the company process. Do not treat document creation as legal authorization by itself.
- Print the approved document where used and record issuance. Track fulfillment/cancellation/expiry using the available current statuses.
- Link the actual collection documents and review unfulfilled or expired authorizations. Complete physical receipt or cash collection separately.
Check the result
The authorization identifies the correct representative, permitted scope and valid period, with actual collection traceable.
If the result differs
Authorization is expired or incorrect: obtain a corrected approved document before collection. Collection is unrecorded: link the actual goods/cash document and review remaining scope.
