Receive several purchase orders and allocate warehouses

Use compatible confirmed purchase orders. Multiple-order receipt and warehouse-group use require their own configuration and warehouse access.

Start at Purchasing > Purchase documents (all).

Procedure

  1. Select the supplier delivery’s orders in the receipt preparation workspace, or create a purchase document for the supplier, company, currency and warehouse.
  2. If the delivery spans warehouses, select a warehouse group. Check whether its group selection policy permits warehouses in orders only or in both orders and receipts.
  3. For orders-only groups, create separate receipt documents per warehouse. For groups allowing both, set the destination warehouse on every item row.
  4. Enter actual received items, quantities and packages. Enable receipt allocation by order when available, then inspect the purchase order allocated to each row.
  5. Review unmatched or excess-delivery rows. Compare agreement, contract, VAT-price mode and packaging/expense terms; automatic assignment is not evidence that the row belongs to the intended order.
  6. For an approved overdelivery, identify the purchase order it exceeds. Resolve an incompatible order separately instead of forcing it into the combined receipt.
  7. Post the purchase document and complete the physical receiving process for each order-based warehouse. Check delivered remainder and settlements separately for every source order.

Check the result

Totals by order and warehouse equal the actual delivery; no row is allocated solely because an automatic oldest-date rule selected it.

If the result differs

Order is not offered for combination: compare supplier, company, agreement, currency and other header terms. Warehouse is unavailable on a row: inspect group policy and access rights.
