Receive measured goods with a quantity variance
Use measured units such as weight, volume, length or area. Obtain the company’s approved tolerance; a unit-count item does not inherit this rule.
Start at Purchasing > Purchase documents (all); Warehouse and delivery > Receipt.
Procedure
- Review the item unit and configured receipt/delivery tolerance before entering the actual measured quantity.
- Create the warehouse receipt from the intended order or receipt instruction. Enter actual measured quantity, not the ordered quantity copied unchanged.
- Compare the difference with the approved tolerance. A difference outside tolerance requires a documented overdelivery/shortage decision; do not enlarge the tolerance merely to post.
- Fill the purchase document using the actual warehouse receipt where supported. Inspect how excess quantities are marked and linked to the purchase order.
- In the order-closing assistant, review the suggested increase or cancellation of the small remainder. Check the cancellation reason for measured-goods tolerance.
- Recheck the purchase order’s expected remainder, the posted warehouse quantity and the supplier document amount before closing.
Check the result
The ledger reflects the measured receipt and the order does not retain an unintended residual receipt task.
If the result differs
Quantity exceeds tolerance: record the approved discrepancy/overdelivery process instead of increasing the global tolerance. A small remainder persists: review the closing assistant and actual receipt quantity.
