Receive, release and buy out goods held in custody

Custody receipt, release and buyout operations must be enabled for the agreement and available to your role.

Confirm the custody agreement, owner, warehouse and agreed responsibility for loss. Custody stock is not automatically company-owned stock.

Start at Purchasing > Purchase documents (all).

Procedure

  1. Create a custody receipt document for the owner and agreement. Review item, quantity, batch and valuation details.
  2. Complete the physical warehouse receipt if the warehouse uses separate receiving documents. Verify the owner/designation shown in custody stock reporting.
  3. For release to the owner, create a custody release/return document from the custody basis and enter only goods actually being handed back.
  4. Complete the corresponding warehouse issue for an order-based warehouse. Check the physical stock and custody obligation decrease for the same batch.
  5. For an agreed purchase of custody goods, use the buyout operation from the custody basis. Review the selected quantity, price and new supplier liability rather than posting a second physical receipt for stock already held.
  6. For loss or a receipt discrepancy, document actual quantities and the agreed resolution before applying the appropriate write-off or adjustment. Review custody and owned stock separately.

Check the result

Physical quantity, custody obligation and owned-stock balance reconcile without a duplicate movement at buyout.

If the result differs

Custody quantity differs: check owner, agreement and physical receipt/release. Buyout doubles stock: inspect whether an unnecessary second physical receipt was created.
