Purchase services and expense received goods

Identify whether the line is a service or a stock item and obtain an approved expense item and analytical dimension.

Start at Purchasing > Purchase documents (all).

Procedure

  1. Create the purchase document for the supplier and company, or generate it from the matching purchase order.
  2. Enter the service or goods actually purchased, quantity, unit, price and amount. Keep service lines separate from goods that must enter warehouse stock.
  3. For goods intended to be expensed on receipt, choose expense recognition on receipt, where available, only for the intended lines/document. Review how it changes the warehouse requirement.
  4. Select the expense item and required expense analytics. Do not substitute an unrelated expense item just to pass validation.
  5. Review supplier settlement terms, currency and the company’s confirmed tax treatment. Post the purchase document.
  6. Check the expense report and supplier balance, and verify that the same goods were not also received into stock through a separate warehouse document.

Check the result

The purchase is allocated to the intended expense analytics and is not counted twice as both stock and expense.

If the result differs

Expense analytics are missing: select the approved category and required analytical dimension. Stock appears as well as expense: investigate duplicate or incompatible warehouse documents.
