Match vendor items and import a vendor price list

Obtain a supplier file with item name or SKU, price, currency and price type. Identify internal items, variants and package coefficients before importing.

Start at Purchasing > Import vendor prices from file; Vendor price lists.

Procedure

  1. Open the supplier’s item catalog. Create or review one supplier entry per supplier SKU/package, linking it to the internal item, variant and package. Do not create duplicate internal items merely because names differ.
  2. Open Import vendor prices from file. Select the supplier and the price types that correspond to the columns in the file.
  3. Load or paste the file data. Map supplier name/SKU and price columns. Check the currency and whether a price refers to one base unit or one package.
  4. Review matching results. Compare both supplier name and SKU when both are supplied, and inspect the identifier used for matching. Manually select the correct internal Item for unmatched rows.
  5. Inspect rows marked as skipped or scheduled for creation. A new supplier-catalog entry does not establish an internal-item match by itself. Resolve it before accepting the import.
  6. In the price registration settings, choose all prices or changed prices, then review duplicate and unmatched-row handling. Compare the final row count with the file.
  7. Complete the import and open the resulting supplier price document. Check a sample item/package in the price history before using it on a purchase order.

Check the result

One imported price must have the intended supplier, internal item, package, currency and effective date; repeating the same file must not silently create duplicate catalog entries.

If the result differs

Unmatched items: correct the internal item/variant/package mapping before registering their prices. An unexpected duplicate: compare supplier SKU and package before creating another catalog entry.
