Choose settlement detail and allocate payments to documents

Identify company, partner, currency and current settlement mode. A change of detail can affect historical allocation and approval requirements.

Start at Open the contract/agreement settlement procedure and the payment document’s allocation detail.

Procedure

  1. Review whether the agreement tracks by contract, order, settlement document or mixed advance/debt basis. Identify the actual settlement object used by the payment.
  2. Open the document’s payment terms and inspect inherited settlement detail. Documents generated from orders may lock this procedure to the order.
  3. If a more detailed procedure is required and allowed, request the necessary deviation approval. Do not change the master contract globally just to allocate one payment.
  4. In the payment breakdown/payment allocation tool select the intended source balance and target order/invoice. Enter the amount and review remaining advance/debt.
  5. For mixed advance/debt procedures inspect what amount transfers from the order/contract to the delivery. Automatic chronological allocation may choose an earlier payment; it does not prove the exact bank payment was manually selected.
  6. Save the authorized allocation and generate the relevant aged debt/reconciliation report. In offline mode review allocation freshness and scheduled-task status with the administrator.
  7. Check both source and target objects after backdated changes. Investigate timing/chronology before entering a debt adjustment to hide an apparent residual.

Check the result

The intended invoice/order is allocated, source advance/debt decreases by the same amount and report freshness is known.

If the result differs

Detail cannot change: review source-order inheritance and authorized deviation policy. Aged debt is stale: check allocation timing and background-task status before changing balances.
