Record acquiring payments, merchant statements and bank settlement

Use an approved payment-system contract, terminal/account settings and acquirer evidence. A card transaction and the net bank payout are separate records.

Start at Treasury > Payment system contracts; POS terminals; Acquiring transactions; Merchant statements.

Procedure

  1. Review the payment-system contract and terminal: acquiring partner, company bank account, currency and commission handling.
  2. Create or inspect the Acquiring Transaction for customer receipt and link the intended customer settlement. Check amount and transaction reference.
  3. Create the Merchant statement for the acquirer period. Add/select only the incoming transactions and refunds covered by that statement.
  4. If commission is reported here, enter it in the statement currency with approved expense item and analytics. Avoid recording the same fee again as a separate bank debit.
  5. Match the actual bank receipt using the acquiring settlement receipt operation and the correct acquiring agreement. Review gross, fee and net amounts.
  6. If the bank debits a fee separately, use the supported outgoing bank expense operation instead of deducting it a second time in the receipt.
  7. Reconcile card transactions, merchant statement, fees, bank payout and unsettled acquiring balance for the same period.

Check the result

Gross collections minus supported refunds/fees reconcile to bank payouts plus outstanding acquiring balance.

If the result differs

Net payout differs: compare refunds, fee and outstanding acquiring balance. Commission is doubled: check whether it was recorded in the merchant statement and a separate bank payment.
