Record expenses and currency conversion in multiple currencies

Keep currency-exchange evidence and original receipts. Reconcile advances by currency before converting totals.

Start at Treasury > Expense reports.

Procedure

  1. Open Treasury > Expense reports > Create > Expense report and select the required Advance holder on Main.
  2. Select Multicurrency rather than Single currency. Review the available currency fields and the reporting currency before entering rows.
  3. Enter each supporting expense in its original currency, with its document, number, date, description, scope, amount and cash-issue purpose. Keep Expenses, Purchases and Payment to vendors entries linked without duplicating the same spending.
  4. Where a currency-conversion section is available, enter source/target currencies, actual converted amounts and the documented rate. Review available-balance fill results rather than treating them as proof of exchange. If no conversion entry is available, confirm the supported configuration before recording a substitute transaction.
  5. Compare advance received, opening balance, spending, rejected amounts and remaining balance by currency. Investigate an impossible negative source-currency balance and inspect any converted reporting amounts.
  6. Submit for the company’s review. The expense-report selector offers Prepared and Confirmed; confirm only after authorization, then save/record the reviewed report and check actual employee balances.
  7. Return or reimburse the balance in the intended currency through its own payment process. Check statutory/management amounts separately under the approved accounting treatment.

Check the result

Currency balances conserve the documented exchange amounts and all expense evidence retains its original currency.

If the result differs

Currency balance is impossible: inspect conversion direction, amounts and duplicated receipts. Accounting total differs: review rate/date and approved conversion evidence before approval.
