Recording incoming and outgoing cash payments

Use the incoming or outgoing cash-account document for the direction of the actual cash movement. Select the company cash account and currency, then check the customer and settlement object before posting.

Record a customer payment

  1. Open Treasury > Incoming payments — Cash account and choose Create > Customer payment.
  2. On Main, select Cash account, the customer in Payer, and Amount in the account currency.
  3. Open Payment details. The form offers No splits and As a list; review the breakdown used by the document.
  4. Check AR/AP object, Customer and AR/AP amount. If a contract is filled automatically, confirm that it is the intended settlement object. A customer's name in the header alone does not identify the invoice or contract being paid.
  5. Review Cash flow and the payment purpose. For a customer sale receipt, the cash-flow item must correspond to that receipt. Review the company's applicable tax details rather than copying an unrelated payment.
  6. After actual cash receipt, choose Post and close. Reopen the saved Incoming payment and check account, customer, amount and allocation.

Record a customer cash refund

  1. Open Treasury > Outgoing payments — Cash account and choose Create > Refund or other payment to customer.
  2. On Main, select Cash account, the customer in Payee, and the amount actually being refunded.
  3. In Payment details, check AR/AP object, the customer and AR/AP amount. Use the approved refund/settlement basis rather than assuming the most recently used contract is correct.
  4. Review Cash flow for the customer refund. Check the applicable Refund agreement and Line of business dimensions according to the company's refund process.
  5. After authorized cash handover, choose Post and close. Reopen the saved outgoing payment and check the amount and allocation.

A cash refund is a separate payment action. A sales return with credit does not by itself document money handed back to the customer.

Reconcile the cash balance

Open Treasury reports > Cash statement, select the period/account and click Generate. Compare the same account and currency:

Opening balance + incoming cash − outgoing cash = closing balance.

For example, an opening balance of 500 RON, customer receipt of 5 RON and refund of 2 RON gives a closing balance of 503 RON. Reconcile the customer's AR/AP balance separately; the cash statement confirms cash movement and totals.

If the result differs

  • If the invoice or contract remains outstanding, inspect AR/AP object and the payment breakdown before creating another payment.
  • If the cash balance differs, compare account, currency, date, posted documents and possible duplicates.
  • If a payment request is required, use the approved request and remaining authorized amount. Resolve missing approval through the configured workflow.

Supplier payments, employee advances and transfers use their own operations and approval basis. Select their appropriate procedure before entering a cash document.
