Item batches and expiry dates

An item's type can supply a batch policy that requires a batch on purchase documents. Review the batch settings inherited from the item's type. See Create item for creating the item.

Have the supplier's batch number and expiry date ready. Use the batch information for the goods actually received. Do not change an existing item's policy to bypass a missing-batch error, or assign one batch to every line without checking the goods.

Fill in the batch on a vendor invoice

  1. Open the Vendor invoice created from the purchase order. See Creating Purchase Invoices from Purchase Orders.
  2. On Goods, check the item and quantity. Generating the invoice from an order can fill in the goods while leaving the batch empty.
  3. Select the line's Batch cell and press F4 to open Specify batch.
  4. On Input, enter the supplier's batch number in Number and the expiry date in Expiry date. These steps use a batch number entered manually.
  5. Click OK. Check that Batch shows the number and expiry date. The displayed value includes both parts, for example LOT-001 until 31.12.27. Confirm that the quantity and invoice amount still match the received goods.
  6. Choose Post and close.

Use Input to enter a new batch. The form also has a Selection tab for selecting an existing batch.

Select a batch for an outgoing sales order

  1. In the sales order's Goods lines, open Batch with F4. In Specify batch, review Available stock, including the batch number, expiry date and available quantity.
  2. Use More actions > Fill by FEFO to fill Select, PCE with the quantity to be shipped. Review the allocated quantity against your shipment.
  3. Check the batch and allocated quantity, then click OK. Confirm that the batch has been transferred to the order line before continuing with the sales document.

Highlighting a batch row and clicking OK is not enough: the quantity must be allocated in Select, PCE. This section covers quantity allocation in the batch selector. A warehouse's picking strategy is a separate part of its process.

After preparing the sales documents, follow Shipping goods at an order-controlled warehouse to complete and check the physical shipment.

Resolve the missing-batch error

If posting reports that the Batch value is missing from a goods row, return to the indicated goods row and fill in Batch using the steps above. Repeat for any other rows reported by the application, then try posting again.

After posting, find the invoice in the document list and check its goods, quantity, total and batch details.
