Shipping goods at an order-controlled warehouse
For a warehouse using separate outgoing documents, complete the warehouse shipment after preparing the sales documents. For this workflow, prepare a saved sales order, its customer invoice and an allocated batch. See Item batches and expiry dates for batch selection.
Have the shipment reference, warehouse, date and actual quantities ready. Confirm that the goods are available at this warehouse; receiving goods is a separate operation.
Create the outgoing note for the selected reference
- Open Warehouse and delivery > Goods issue from warehouse. The workspace is titled Goods issue from warehouse.
- Select the shipping warehouse and shipment date, and set the status filter to All in progress.
- In the upper table, identify the shipment reference by its number, date and customer. Select only the reference you intend to process.
- Click Create goods issues. In Settings, change by all references to by selected references, then click OK.
Check the scope before confirming: the dialog can default to all references. Selecting a row in the table does not restrict the creation scope by itself. Use by selected references to create a note for your selected reference.
Check and complete the shipment
- Find the newly created Prepared note in the lower table and open it.
- In Shipped goods, check the item, quantity, unit and batch against the shipment you are completing. Confirm the reference and warehouse as well.
- After completing the required physical handling for your warehouse, set the status to Completed. Check the goods line's Ship action and the shipment date.
- Choose Post and close. Check that the note appears as Completed in the lower table. For a full shipment, check that the source order no longer appears in the upper waiting list.
The selector also offers To pick up, To verify and pack, Verified and To ship. If your warehouse uses these intermediate picking, checking and packing stages, complete its configured process before finalizing the shipment.
Check the stock independently
Open Warehouse reports > Warehouse stock. Choose a period covering receipt and shipment, filter by the warehouse, click Generate and wait for Report generated and the report table.
Find the item and batch, then compare received, issued and closing quantities. For example, with no opening stock or other movements, 10 PCE received − 2 PCE shipped = 8 PCE closing stock.
If quantities do not match, review the outgoing note's status, warehouse, batch and report period before creating another note.
