Partner and legal counterparty
A partner records the business relationship, such as customer or supplier. A legal counterparty identifies the entity used by the document. In the checked configuration, selecting a supplier alone did not fill the legal record required for posting a purchase order.
Identify the two fields
| Field in the purchase order | What to select |
|---|---|
| Vendor | The supplier partner, with the supplier relationship role. |
| Counterparty | The legal counterparty linked to that partner. |
The partner wizard can create legal details when that option is enabled. If it was left off, create or select the legal record separately when the document requires it.
Create the legal record from a purchase order
- Select Vendor in the purchase order.
- Open F4 from Counterparty. The Counterparties catalog opens, filtered for the selected partner.
- Check for an existing record for the correct legal entity. If it already exists, select it rather than creating another one.
- To add a record, choose More actions > Create.
- Check the names inherited from the partner. Select the company's actual country and enter its actual legal details.
- Choose Save and close.
- In the selection list, choose the saved record with Ctrl+Enter.
- Back in the order, check both Vendor and Counterparty before posting.
Check the result
Reopen the Counterparty selection and confirm that the order refers to the intended legal entity for the supplier. If posting reports a missing counterparty, select the saved legal record into the order and retry.
If the order still requests a legal counterparty
Check that you selected the record into Counterparty, rather than only saving it in the catalog. Confirm that the catalog is filtered for the intended supplier. If the supplier represents several legal entities, choose the entity relevant to this order.
A successful save confirms that the application accepted the record. Check the actual company details needed for your transaction before using the record in business documents.
