Send goods to a custodian and record their return

Use this procedure only when the external-custody transfer operation is available for the agreement.

Identify the external custodian, storage agreement and stock ownership. Distinguish external custody from an internal warehouse transfer.

Start at Warehouse and delivery > Internal documents (all).

Procedure

  1. Open the transfer-to-custodian operation, if available, and choose the company, custodian agreement and sending warehouse.
  2. Select items, actual quantities and batches. Check which external warehouse/location represents the custodian.
  3. Post the transfer instruction and complete the separate warehouse issue where the sending warehouse requires it.
  4. Review stock held by the custodian. Confirm that physical stock moved out of the source while company ownership was retained where that is the agreement.
  5. For a return, create the return-from-custodian document from the original basis, select the actual returned quantity and complete warehouse receiving as required.
  6. If the custodian buys goods or reports a shortage, use the appropriate sale/buyout or discrepancy scenario; do not substitute an internal transfer. Reconcile remaining custody quantities.

Check the result

Custodian stock, source stock and returned quantities reconcile by owner and batch.

If the result differs

Goods are missing at the custodian: compare transfer and source issue before entering another transfer. Ownership changed unexpectedly: check the operation and agreement before further posting.
