Transferring goods between warehouses

Use a transfer order to identify the source warehouse, destination warehouse and goods to move. Then create Goods transfer and complete the physical operations required by each warehouse's management scheme.

Have the item, unit, quantity, requested date and available source stock ready. For a batch-controlled item, also review Item batches and expiry dates.

Create the transfer order

  1. Open Warehouse and delivery > Transfer orders > Create transfer order > New.
  2. Select the source and destination warehouses. Check their direction carefully before adding goods.
  3. In Goods, select the item and enter the quantity, unit and requested date.
  4. Set the order status to Confirmed and choose Post and close. Find the saved order in the list and check its warehouses and goods.

Record the transfer

  1. Open the order and set the goods-line action to Ship (all) for the quantity you intend to transfer. Check that the line shows Ship.
  2. If the item requires a batch, open Batch with F4. In Specify batch > Available stock, review the available batch and quantity. Use More actions > Fill by FEFO and check the allocated quantity before clicking OK. For example, a transfer of 1 PCE should allocate 1 PCE, even when 8 PCE are available.
  3. Choose Create based on > Goods transfer using the green-arrow document button. If the application requests posting of the source order, confirm that action before continuing.
  4. Wait for the generated document to fill in. Check the source order, source and destination warehouses, item, quantity, unit and batch.
  5. Choose Post and close to post the transfer document.

If generation requests a shipment action or posting reports an empty batch, return to the order and complete the indicated line before trying again.

Complete the warehouse operations

When the source warehouse uses separate outgoing notes:

  1. Open Warehouse and delivery > Goods issue from warehouse and select the source warehouse.
  2. Find the transfer order in the upper waiting list. Check the destination warehouse and select only that reference.
  3. Click Create goods issues. In Settings, select by selected references before confirming, so creation is limited to the selected reference.
  4. Open the new Prepared note in the lower table. Check the item, quantity and batch. After completing the warehouse's required physical handling, set Completed and choose Post and close.
  5. Check the completed outgoing note and the waiting list. See Shipping goods for the detailed outgoing process.

The destination's receipt depends on its own configuration. A warehouse without separate receipt orders may record the incoming quantity through Goods transfer. If the destination requires a separate receipt, complete its receiving process as well. Posting the transfer document alone does not confirm that every required warehouse operation is complete.

Reconcile both warehouses

Open Warehouse reports > Warehouse stock. Choose a period covering the transfer, include both warehouses in the report scope, click Generate and wait for the report table.

For example, start with 8 PCE at the source and none at the destination, then move 1 PCE:

StageSource, PCEDestination, PCE
Before transfer80
After completing both sides71

The final total remains 7 + 1 = 8 PCE. In a mixed warehouse scheme, the destination may already show 1 PCE while the source still shows 8 PCE before the separate outgoing note is completed. Review the remaining warehouse operations instead of treating that intermediate view as a completed transfer.

Compare the item, batch and unit at both warehouses. This guide covers quantity reconciliation; intercompany ownership changes, partial transfers, returns, bin movements and cost valuation require their own procedures.
