Record a shortage, surplus or quality change outside a count

Identify the actual item, warehouse, batch, quantity and cause. Confirm whether the warehouse uses discrepancy orders or direct financial adjustments.

Start at Warehouse and delivery > Surplus, shortage and stock quality change; Inventory adjustments.

Procedure

  1. For an order-based discrepancy process, create the corresponding shortage, surplus or damage warehouse order. For a non-order warehouse, use the matching inventory adjustment document.
  2. Select the warehouse and actual affected item/batch. Enter the quantity found missing or extra, not the total stock quantity.
  3. For damage, identify the original quality and the resulting damaged item/quality. For regrading, specify both the item removed and the item recognized.
  4. Post the operational warehouse document when required. Use Inventory adjustments and filter to the unprocessed discrepancy rather than creating an unrelated second shortage.
  5. Review company allocation and income/expense analytics. Inspect each proposed reclassification or damaged-goods match in the adjustment assistant before accepting it.
  6. Create/post the required financial act. Recheck both physical stock and the outstanding discrepancy register; financial valuation requires its own cost checks.

Check the result

The affected item is reduced/increased once, regrading has both sides, and the discrepancy is fully documented.

If the result differs

Physical stock changes twice: check whether both a warehouse order and an unrelated direct adjustment were posted. Regrading does not balance: review both item sides and unit conversion.
