Process a partial warehouse transfer and its discrepancies
Use the original transfer order/document, actual shipped/received quantities and both warehouses’ processing schemes.
Start at Warehouse and delivery > Transfer orders; Internal documents (all).
Procedure
- Open the transfer and compare ordered, physically issued and physically received quantities. Keep an undelivered quantity open unless its cancellation is approved.
- Create a discrepancy report based on the original transfer where the operation is available. Confirm its source documents; a multi-transfer report must contain only intended transfers.
- Enter actual quantity or fill from the actual warehouse receipt. Review automatically calculated surplus/shortage against the physical count.
- Agree the resolution between sender and receiver: accept the actual difference, return surplus or reship shortage. Keep a traceable document for any physical follow-up.
- If the source warehouse has a corresponding physical surplus/shortage, record its warehouse adjustment under its scheme. If only financial records need correction, review the appropriate financial act without inventing a physical count difference.
- Create the required return/new transfer or adjustment and reconcile stock at both warehouses before/after. Do not create an undocumented physical reshipment.
- Use the action to cancel unprocessed remainder only for an approved cancelled remainder. Close the transfer order after required issue, receipt and transfer documents are complete.
Check the result
Source reduction, destination increase, returned/reshipped quantities and remaining transit reconcile without unexplained loss or double receipt.
If the result differs
Transfer remains open: compare physical issue, receipt, financial transfer and cancelled remainder. Source/destination totals disagree: investigate actual shortage/surplus before another movement.
